How to Add Tax and VAT to Invoices

Enabling Tax on Your Invoice

Toggle the tax switch in the totals section to enable tax calculation. Once enabled, a tax rate field appears where you can enter your applicable percentage. The tax amount is calculated automatically based on the subtotal and displayed as a separate line before the total.

Percentage vs. Flat Tax Amount

By default, tax is calculated as a percentage of the subtotal. If your jurisdiction requires a flat tax amount or you need to enter a specific figure, you can type the amount directly into the tax field. This is useful for fixed levies or when you have pre-calculated the tax externally.

VAT for UK and EU Businesses

If you are VAT-registered, enter your VAT rate (for example, 20% in the UK or 19% in Germany) in the tax percentage field. You can customize the tax label to read "VAT" instead of "Tax" by editing the field label. Include your VAT registration number in the notes or a custom field so your invoice meets compliance requirements.

Handling Multiple Tax Rates

Some jurisdictions require separate state and local taxes or a combination of GST and PST. You can add a second tax line by enabling the additional tax toggle. Each tax line has its own label and rate, and both are applied to the subtotal independently, then added to the total.

Can I set tax-inclusive pricing so the total stays the same?
The generator calculates tax on top of the subtotal by default. If you need tax-inclusive pricing, adjust your item rates so the final total (including tax) matches the price you quoted your client.
Can I apply different tax rates to individual items?
Tax is currently applied as a single rate to the subtotal. If different items have different tax rates, calculate the tax for each group externally and enter the combined amount as a flat tax figure.
Does InvoiceGen support GST for Australian or Indian businesses?
Yes. Simply set the tax percentage to your GST rate (for example, 10% in Australia or 18% in India) and rename the tax label to "GST" using the label customization feature.
