How to Customize Invoice Labels and Fields

Renaming Field Labels

Click on any field label — such as "Quantity," "Rate," or "Amount" — to edit it directly. This is useful when your industry uses different terminology. For example, consultants might change "Quantity" to "Hours" and "Rate" to "Hourly Rate."

Changing the Document Type

The default heading is "Invoice," but you can change it to "Estimate," "Quote," "Receipt," "Credit Note," or any other label. Click the document title at the top to edit it. This flexibility means InvoiceGen works for more than just invoices.

Adding PO and Reference Numbers

If your client requires a purchase order number or project reference, use the PO Number or Reference field in the header section. These fields appear on the PDF and help your client match the invoice to their internal records, which speeds up payment approval.

Custom Notes and Terms

The Notes field at the bottom of the invoice is a free-text area for thank-you messages, payment instructions, or project-specific details. The Terms field is where you place your payment terms, late fee policy, or legal disclaimers. Both fields appear on the PDF below the totals.

Can I change the invoice language for non-English clients?
Yes. Since all labels are editable, you can rename every field to any language. Change "Invoice" to "Facture," "Quantity" to "Quantite," and so on to create a fully localized document.
How do I remove fields I do not need?
Leave optional fields blank and they will not appear on the PDF. For example, if you do not need a PO number or shipping, simply leave those fields empty.
Will my custom labels be saved for next time?
Yes, your label changes are saved in the browser along with the rest of your invoice data. If you have an account, they sync to the cloud so your custom setup is available on any device.
